The Booking Process

Regal Wings handles all the complexity of airfare sourcing and ticketing. Here's exactly how a booking flows from inquiry to issued ticket:

  1. 1Advisor Submits a Quote RequestComplete the quote request form with client details, travel dates, origin/destination, preferred cabin, and any special requirements.
  2. 2Regal Wings Sources OptionsOur Air Specialist searches GDS systems and private airline contracts to find the best available fares — published, NET, and negotiated.
  3. 3Quote Delivered to AdvisorYou receive a detailed quote with all relevant fare information, rules, commission details, and upsell opportunities. Review and share with your client.
  4. 4Advisor Approves & ConfirmsOnce your client is ready to proceed, confirm the booking. At this point, full payment is required to issue the ticket.
  5. 5Regal Wings Tickets & DeliversWe issue the ticket, send the full itinerary confirmation, add frequent flyer numbers, and note any special requests with the airline.

Regal Wings doesn't just book and disappear. Our team proactively monitors your clients' itineraries for schedule changes, cancellations, and disruptions.

  • We are notified of schedule changes and cancellations as they happen
  • If a change impacts the itinerary, your Regal Wings specialist will reach out proactively
  • For significant disruptions within 24–48 hours of departure, the Emergency Line takes over

Q: When should I call vs. speaking to a gate agent?

A: If your flight is within 24–48 hours and there's an issue like a delay or cancellation, contact our emergency team. At the airport, speak with the gate agent AND call us simultaneously — both channels give the best chance of resolution.

Q: What is 'airport control'?

A: Once your client has checked in for their flight, control transfers to the airline. We recommend clients wait to check in until they are on their way to the airport — this lets our team retain full control and assist more effectively.

Q: What can the emergency line handle?

A: Rebooking flights, missed connections, alternative routing, and real-time communication with the airline on your client's behalf.

Q: What can the emergency line NOT handle?

A: Weather-related delays are controlled by the airline and FAA. In these cases, the gate agent has the most immediate tools, but we will still support in every way we can.
